Many everyday tasks of the cleaning staff are performed in the **Cleaning **view.

- The **Cleaning** view contains a color-coded overview of hotel rooms and other facilities with information on room type, occupancy, cleaning status, etc.
- Besides cleaning staff, the information also helps reception to track which rooms are currently being cleaned and will soon be ready.

All cleaning events are recorded to the **Cleaning log**.

- The log contains details on each event (such as room, time and user) and it can be used e.g. to track the work of external cleaning staff.

The **Cleaning list** view shows the cleaning status and occupancy status for each room.

- You can use the **Cleaning list** to print a list of rooms where you can add notes before printing or by hand on the printed copy.

## Using the Cleaning view

The **Cleaning** **view **provides an overview on rooms and other facilities. You can use various search functions to easily see certain rooms: for instance “*rooms that are in use and not cleaned”*.

You can also perform many of your everyday cleaning tasks in the **Cleaning** view:

- Mark rooms as clean or unclean.
- Add and check minibar postings.
- Create service notes.
- Set Do not disturb statuses.

Using the Cleaning view:

1. Open the Cleaning window by clicking **Cleaning** on the Housekeeping home page.
2. View opens up showing all rooms and facilities that you have access to.

2. Use the filters at the top of the window to select the rooms that are displayed.

- Choose a **room type** from the **Rooms** drop-down menu. The list includes all room types in your department.
- **Only my rooms**: view only rooms that have been allocated to you for cleaning (see **[Room cleaning allocation](https://vitechotellinx.atlassian.net/wiki/spaces/OE/pages/320405539)**).
- **Floor / building**: view rooms or spaces in one or more floors / wings / buildings. The chosen floor / building is shown at the top left corner of the rooms view.

3. Choose additional filters from the **Room status** panel. You can use the filters as you like, e.g.

- *not cleaned rooms that are in use*
- *not cleaned vacant rooms*
- *occupied rooms with service notes, *etc.

- **Cleaned** / **Not cleaned**
- **Vacant** / **Occupied** / **Staying** / **Change today** / **Arriving today** / **Departure today** / **Checked in today**
- **In use** / **Not in use**
- **With notes** / **Without notes**

> ℹ️ Notes on room status:
> ℹ️ 
> ℹ️ - **Staying**: rooms that were occupied last night and are not checking out today.
> ℹ️ - **Not in use**: rooms that are out of use (e.g. due to renovation).
> ℹ️ - **In use**: all rooms that can be used (vacant + occupied).
> ℹ️ - **Notes**: service notes (e.g. a leaking tap or broken mirror).

4. You can also use the **Search room text** field to search for rooms with notes added to them by the hotel.

- For instance, you could look for rooms where the current occupant has pets.

5. Choose **With full details** to see the available room information in the search results.

> 📝 After using search functions to filter the data, you can see all the rooms again by clicking **Refresh data**.

## Rooms panel and room field symbols

The rooms panel contains a list of rooms that match your search criteria.

Individual rooms and their status is described using text, symbols and colors, so that it is easy to get a quick overview of each room.

1. **Cleaning status** is shown by background color.

- [Green]: room cleaned
- [Red]: room not cleaned
- [Yellow]: cleaning in progress

2. **Start cleaning**: Click the check box in the top left corner to start cleaning the room.
3. **Room number** is shown at the top of the room field.
4. **Occupancy symbol **shows if a room is currently occupied or not and if the guests are leaving today.

- : Staying (checked in and no departure today). An additional person symbol next to this icon means that a guest is arriving today.
- : Departure today.
- : Service note set for the room.

5. **DND***: *Click **DND** to register that there is a [Do not disturb](https://vitechotellinx.atlassian.net/wiki/spaces/OE/pages/330072150) sign on the room door.
6. **Clean** and **Mark not cleaned**: Click on the button to mark a room cleaned (available when cleaning is in progress) or uncleaned (available when a room is marked as cleaned).
7. **bar (0)** : Click to make a minibar posting (number in brackets indicates recent minibar postings).
8. **Room type **is shown in brackets and followed by a room description, e.g. *[Single] For allergic people, wooden floor*.
9. **Staying** : Arrival date, departure date and number of guests for rooms that are occupied.

- If the room is vacant the field shows **n/a**.
- The field also shows any special information or requests, e.g. *A dog in the room*.

10. **Next** : Arrival date and number of guests for the next reservation (if this is within the near future).

- If there are no upcoming reservations the field shows **n/a**.
- The field also shows any special information or requests, e.g. *A dog in the room*.

11. **Service note**: Potential service notes for the room, e.g. *TV is broken*. Click on the note to edit.

- If the hotel has an external maintenance system, the field may contain a link to the system, which opens in a separate window.

## Cleaning a room

A room is checked in for cleaning and marked cleaned or uncleaned by using the functions in the room field.

1. Open the **Cleaning** window by clicking **Cleaning** on the Housekeeping home page.
2. Use the filters at the top of the **Cleaning** window to select the rooms that are displayed.
3. Check the box in the upper left corner of the room field.

4. Background color will change to yellow and the **Clean** button will appear. When the room has been cleaned, click **Clean**.

5. Once the room is marked as cleaned, the background color will change to green and the **Clean** button will change to **Mark not cleaned**.

## Cleaning log

An event is recorded to the **Cleaning log** when a staff member:

- Enters a room to start cleaning (checks the **Start cleaning** box in a room field in the Cleaning window).
- Marks the room cleaned (clicks on **Clean**).
- Leaves the room without finishing cleaning (unchecks the **Start cleaning** box).

Using the Cleaning log:

1. Click **Cleaning log** on the Housekeeping home page.
2. The **Cleaning log** window contains a set of search functions and a list of events that match the search criteria.

3. Use the filters to look for events by:

- Year
- Month
- Capacity
- Room number

4. You can further narrow down the results by choosing a specific date.
5. Click **Search** to update the log.

6. The Cleaning log includes the following details on each event:

- **Date and time**: when cleaning was started (when the cleaning box was checked) OR when cleaning was completed (when the **Clean** button was clicked).
- **Room**: room number.
- **Text**: The field shows potential notes or requests regarding the room (entered by the hotel), for instance “*a pet in the room”.*
- **User**: which staff member performed the event.
- **Cleaned/Not cleaned**: room status at the time of the event, i.e. when the staff member:
  - Checked the **Start cleaning** box.
  - Unchecked the **Start cleaning** box.
  - Clicked on **Clean**.
- **In/Out**: whether the staff member entered or left the room, i.e.:
  - Checked the **Start cleaning** box (--> marked **In**).
  - Unchecked the **Start cleaning** box or clicked on **Clean** (--> marked **Out**).

7. You can save a local copy of the log by clicking **Download log**.

## Cleaning list

The **Cleaning list** view shows the **cleaning status** and **occupancy status** for each room.

- You can use the Cleaning list to print a list of rooms where you can add handwritten notes.
- Alternatively, you can enter comments on the screen before printing.

Using the Cleaning list:

1. Click **Cleaning list** on the Housekeeping home page.
2. Use the filters to view selected rooms.

3. The **Cleaning list** view contains the following details:

- **Room number**: for instance *101*.
- **Cleaned**: **yes** or **no**.
- **Vacant**: **yes** or **no**.
- **Staying**: If the room is occupied, this section shows the arrival and departure dates.
- **Next**: If the room is pre-allocated for an upcoming stay, this section shows the arrival date for the next reservation.
- Any special notes added by the hotel regarding the stay is shown below the **Staying** or **Next** fields.
- If there is a [Service note](https://vitechotellinx.atlassian.net/wiki/spaces/OE/pages/326926337) for the room, it will appear below the comment boxes.

4. Use the four comment boxes to enter notes before printing the list. You can also use the boxes to write notes on the printed copy.
